Public presentation at the Faculty
At the Vienna Doctoral School of Ecology and Evolution (VDSEE), all doctoral candidates must complete a public presentation of their PhD project. This presentation is a mandatory milestone required for the formal approval of the dissertation topic and the supervision team under the doctoral regulations of the University of Vienna.
The presentation must take place within the first 3–6 months after the start of the doctoral studies (admission at the University of Vienna).
It serves to present the proposed research project publicly, ensure scientific quality and feasibility, and confirm compliance with good scientific practice.
Procedure and Required Documents
Candidates must register for a scheduled presentation date and submit all required documents by the specified deadline (generally several weeks in advance).
Required submissions include:
- A written Exposé (research proposal) using the official template (DOCX), including research questions, background, methods, work plan (with timeline), risk assessment, and secured funding
- Form SL/D11 (PDF) (registration of thesis topic and supervisors), signed
- Form BSP/W1E (PDF) (good scientific practice declaration), signed
- The completed Expectations Worksheet (DOCX) agreed upon with the supervisor(s)
If applicable:
- BSP/W3 (PDF) (approval of financial support)
- SL/D12 (PDF) (supplementary form, e.g. for closed presentations)
The Exposé is reviewed by a member of the PI panel prior to the presentation.
The Presentation
During the public session, the candidate presents the research project to the doctoral school leadership, supervisors, and faculty members. The presentation includes scientific discussion and feedback.
Based on the submitted documents and the presentation, the study program leader decides on the formal approval of:
- the dissertation topic
- the supervision team.
If approval is not granted, the project may be revised and presented again at a later date.
In Short
- The public presentation is compulsory and must be completed within 3–6 months after starting the PhD.
- All documents must be complete and submitted by the deadline.
- Funding, required resources and TAC members must be clearly documented in the Exposé.
- Approval is required before the doctoral project is formally confirmed.

Guidelines for the Exposé
The Exposé is required for the public PhD project presentation and the formal approval of the dissertation topic and supervision team. It must be prepared using the official template and is limited to ten pages (excluding references).
It should clearly outline:
- The scientific background and research gap
- Defined aims and research questions

Thesis Advisory Committee (TAC)
The Thesis Advisory Committee (TAC) supports doctoral candidates throughout their PhD by providing structured academic guidance and independent feedback. It consists of the PhD candidate, the supervisor(s), and 2–3 experienced mentors who contribute complementary expertise.
The TAC monitors research progress, discusses milestones, and offers strategic advice on project development, publications, and career planning. It also provides a formal setting to align expectations and address potential challenges within the supervisory process.
The first TAC meeting must take place within the first 12 months after admission to the PhD program. Meetings are typically held annually, organised by the candidate, and documented via submission of the minutes.

Doctoral Thesis Agreement
After the PhD project presentation, the Executive Manager offers an info session on how to set up the thesis agreement. You will receive more information on this after project approval.
The doctoral thesis agreement is the legal framework for the PhD-project. Changes to it can be made once per year in the annual report.
It comprises the following points:
- All participants' rights and obligations
- Extent of supervision: frequency and format of feedback meetings
- Thesis Advisory Committee: names and affiliations
- Requirements that have to be fulfilled/ECTS: List of courses/lectures, conferences, and transferable skills
- Agreement on number of peer-reviewed publications for cumulative dissertation and number of students that need to be supervised
